1. Who we are and what this policy covers
Gatherly is a product of Boone Studios LLC (“Boone Studios,” “we,” “us,” or “our”). This Privacy Policy explains how Boone Studios collects, uses, discloses, and protects personal information when you visit gatherlycal.com, create a Gatherly account, purchase or manage a license, or contact us (collectively, the “Service”).
This policy applies to information handled by Boone Studios through the Service. It does not apply to information controlled by another company or to the event, RSVP, attendee, or guest information stored by the Gatherly plugin on a customer’s WordPress site.
2. Information we collect
Account information. We collect your name, email address, password hash, email-verification status, and account preferences when you register or update your account.
Authentication information. If you enable two-factor authentication or passkeys, we process the credentials and related metadata needed to provide those features. Authentication secrets and recovery codes are encrypted at rest where applicable.
Purchase and license information. Stripe processes your payment card information. We do not store full payment card numbers. We maintain transaction and subscription records such as your plan, price, Stripe customer or transaction identifiers, license key and status, renewal or expiration dates, and refund status.
Site activation information. When you activate a license, we process the site URL, the label you assign to the site, activation status, and activation date so we can enforce plan limits and manage your license.
Communications. We collect the information you include in support requests, contact forms, and other messages, typically your name, email address, plan information, and message.
Technical information. Our servers and service providers may automatically record information such as IP address, browser or device type, requested pages, timestamps, referring page, and diagnostic or security events. We use this information to operate, secure, and troubleshoot the Service.
3. Information stored on your WordPress site
Gatherly is designed to store event, RSVP, attendee, and guest information in the database of the WordPress site where the plugin is installed. The operator of that site—not Boone Studios—controls that information and is responsible for its privacy notice, legal basis, retention, security, and response to privacy requests.
We do not receive that site-hosted information through your Gatherly account unless you choose to send it to us, such as in a support request.
4. How we use information
We use personal information to provide and administer accounts; authenticate users; process purchases, renewals, cancellations, and refunds; issue, validate, and manage licenses; deliver software and transactional emails; provide support; maintain, secure, and improve the Service; prevent fraud and abuse; comply with law; and enforce our agreements.
We do not sell personal information. We also do not share personal information for cross-context behavioral advertising or use account information to serve third-party advertising.
5. How we disclose information
We disclose information only as reasonably necessary for the purposes described in this policy:
• Service providers. Vendors process information on our behalf to help operate the Service, including Stripe for payment processing and billing, Forgebit for license issuance and validation, email-delivery providers for account and transactional messages, and hosting or infrastructure providers.
• Legal and safety reasons. We may disclose information if we reasonably believe it is required by law, legal process, or a valid government request, or is necessary to protect the rights, property, security, or safety of Boone Studios, our users, or others.
• Business transactions. Information may be transferred as part of a merger, financing, acquisition, reorganization, bankruptcy, or sale of all or part of our business or assets, subject to applicable law.
• With your direction. We may disclose information when you ask us to or give us permission.
6. Cookies and tracking
We use cookies and similar local storage that are necessary to keep you signed in, protect requests, maintain security, and remember interface preferences. We do not currently use advertising cookies, cross-site behavioral tracking, or analytics scripts on the marketing site.
Because we do not track users across third-party websites for advertising, the Service does not change its behavior in response to browser “Do Not Track” signals. If our tracking practices change, we will update this policy and any consent controls required by law.
7. Data retention
We retain personal information for as long as reasonably necessary to provide the Service, maintain your account and licenses, complete transactions, comply with tax, accounting, and legal obligations, resolve disputes, enforce agreements, and protect the Service.
Retention periods vary by the type of information and why we hold it. When information is no longer required, we take reasonable steps to delete or de-identify it. Backup copies may remain for a limited period before being overwritten.
8. Data security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. You are responsible for protecting your account credentials and promptly notifying us of suspected unauthorized access.
9. Your privacy choices and rights
You may update certain account information in your settings and may cancel subscriptions through your account. You may also ask us to access, correct, or delete personal information associated with your account by emailing [email protected].
Depending on where you live, you may have additional rights, such as the right to receive a copy of your information, object to or restrict certain processing, withdraw consent, or appeal our response. These rights may be subject to legal exceptions. We may need to verify your identity before completing a request, and we will not discriminate against you for exercising a privacy right.
10. International processing
Boone Studios and our service providers may process information in the United States and other countries where privacy laws may differ from those where you live. Where required, we use appropriate safeguards for international transfers.
11. Children
Gatherly is a business tool for event organizers and is not directed to children under 16. We do not knowingly collect personal information from children under 16 through the Service. If you believe a child has provided us personal information, contact us so we can take appropriate action.
12. Changes to this policy
We may update this policy as our practices or legal obligations change. We will post the revised policy and update the “Last updated” date. If a change materially affects how we handle personal information, we will provide additional notice, such as an email or account notice, when appropriate.
